Notes

Job Summary:

We are seeking a reliable and proactive IT/Salesforce Support Assistant to support IT operations and
digital initiatives under the direction of the Chief Information Officer (CIO). This role involves providing both technical and administrative assistance, including Tier 1 IT support, Windows installations, task prioritization, and documentation. The ideal candidate will help ensure the smooth, day-to-day functioning of technology systems across all departments.

 

Key Responsibilities:   

    • Assist with IT support tickets, including device troubleshooting, account access issues, software
      updates, and Windows installations.
    • Act as the first point of contact for internal IT-related questions and escalate issues when
      necessary.
    • Support the CIO with managing and prioritizing technical tasks and project timelines using tools
      like ClickUp or Microsoft Planner.
    • Document processes, maintain SOPs, and update knowledge bases for IT systems and
      services.
    • Manage and maintain the organization’s RingCentral VoIP phone system, including user setup,
      configuration, and troubleshooting.
    • Coordinate and support virtual training, IT onboarding/offboarding, and system rollouts.
    • Monitor and report task status, roadblocks, or dependencies to the CIO for decision-making.
    • Support data cleanup and standardization efforts, ensuring accuracy in donor, contact, and
      opportunity records.
    • Assist with user account setup, permissions, and profile updates in Salesforce.
    • Coordinate with the CIO to test and deploy Salesforce automation (flows, validation rules,
      workflows).
    • Create and manage Salesforce reports and dashboards for different departments.

      system, including hardware, software, and peripheral devices.

Qualifications and Skills:

 

Required

Job Summary:

The Reporting & Operations Specialist is a data-forward role responsible for developing executive-level reports, dashboards, KPI tracking tools, and data-driven insights to support the CEO and leadership decision-making.  This role serves as a key partner to the CEO by transforming organizational data into clear, actionable insights while supporting operational coordination, project tracking, and executive follow-through across CEO-priority initiatives.
The position combines strong analytical capability with organizational and communication skills, making it ideal for someone who enjoys working with data, reporting, and executive visibility within a fast-paced environment.  In addition, this role provides operational and executive-level support to the CEO, including meeting preparation, executive coordination, communication, and organizational follow-through. This is a high-impact individual contributor role and does not include management of staff or departments.

 

Key Responsibilities:

Executive Reporting & Analytics  

  • Extract, build, maintain, and improve executive-level reports, dashboards, KPI trackers, and operational reporting tools using Salesforce, Excel, and other internal systems   
  • Analyze trends, variances, and performance indicators across fundraising, programs, finance, operations, and organizational initiatives   
  • Translate complex data into clear, concise summaries, executive insights, and visual presentations for leadership and Board review   
  • Prepare recurring leadership and organizational reports, organizational dashboards, scorecards, and performance summaries   
  • Ensure accuracy, consistency, and integrity of data used in executive and Board-level reporting

Job Overview:

The Marketing and Volunteer Assistant supports the organization’s outreach and growth by assisting with marketing efforts, communications, and volunteer coordination. This role involves helping to implement campaigns, organize events, and maintain engagement with a nationwide volunteer network. The ideal candidate is proactive, organized, and passionate about the mission, contributing to increased brand visibility and effective volunteer involvement across both established and new office locations. 

 

Key Responsibilities:

Marketing & Communications

    • Assist the Senior Communications Officer and Marketing Manager with daily activities. 
    • Assist in creating engaging content for various platforms, including social media, blogs, websites, SMS, and email newsletters. 
    • Monitor social media activity and respond to comments and inquiries.
    • Support the creation of marketing materials, including but not limited to brochures, flyers, and social media graphics. 
    • Draft and proofread both internal and external communications. 
    • Support the organization, segmentation, and maintenance of contact databases on various marketing channels. 
    • Conduct research on market trends, competitor activities, and Donor preferences.
    • Assist in analyzing marketing performance data and preparing reports.
    • Provide administrative support to the marketing and communications team.
    • Schedule meetings, manage calendars, and handle related correspondence.

Volunteer Coordination

    • Assist in developing and implementing a comprehensive volunteer recruitment, training, and retention strategy. 
    • Build and maintain relationships with volunteers across the country, ensuring effective engagement. 
    • Create and maintain volunteer schedules, databases, and communication channels. 
    • Establish and maintain regional volunteer chapters in collaboration with local offices or representatives.
    • Track and report on volunteer metrics such as hours served, retention rates, and engagement.
    • Provide creative ideas for volunteer engagement and a communication plan. 

 

Event Coordination

    • Support the planning and execution of marketing events, trade shows, and webinars.
    • Coordinate logistics, including venue arrangements, attendee communication, and material preparation. 
    • Assist in event promotion across marketing channels and help with follow-up communications.
    • Help develop standardized event playbooks and training materials for regional teams.
    • Ability to travel as needed for events and work a flexible schedule, including evenings and weekends.

Job Overview:

The Human Resources (HR) Generalist plays a vital role in the day-to-day operations of the HR Department, serving as the primary point of contact for employee-related matters. This role supports and advances key HR functions across the organization, ensuring they are compliant, consistent, and aligned with the organization’s mission. The HR Generalist will oversee routine HR operations while providing guidance to HR support staff and departmental managers. Key Responsibilities:

Recruiting & Onboarding

    • Onboarding, New Hire Support and Offboarding – Oversee end-to-end onboarding
      • Staffing & Onboarding: Manage the day‐to‐day staffing process (recruiting, interviewing, hiring, and onboarding). Update and maintain job descriptions (with periodic review for compliance). Ensure proper forms are filled from Job application to employee onboarding. Use 3rd party service to conduct employee background checks and to confirm employment eligibility.
      •  Preparation of Onboarding Materials: Prepare welcome packets that include company information, benefits details, and essential forms.
      • Integration Assistance: Facilitate a smooth transition by introducing new hires to HR policies and internal resources.
      • Oversee the HR Administrator’s support in the recruitment process, including:
        • Reviewing job postings for accuracy and alignment before publication
        • Monitoring resume screening activities to ensure qualified candidates are identified
        • Providing guidance on candidate communications and ensuring consistency in tone and compliance
        • Reviewing scheduled interviews and offering support to hiring managers as needed
        • Conducting periodic audits of recruitment records (e.g., Outlook resume folders) for completeness and organization 
    •  Benefits Management

    • HR Projects & Meeting Coordination
      • Project Support: Assist with planning, coordinating, and tracking HR projects (e.g., training seminars, surveys).
      • Meeting Facilitation: Organize and schedule HR meetings and training sessions.
      • Prepare agendas and take detailed minutes during meetings.
      • Event Coordination: Help organize HR-related events and seminars ensuring all logistics are managed.
    • Policy Development & Compliance
      • Regulatory Compliance: Ensure that all HR practices—including job descriptions and HR policies comply with local, state, and federal regulations as well as internal standards. Oversee that policies are applied consistently across the organization.
      • Policy Implementation: Support the development and rollout of new HR policies and systems.
      • Documentation & Review: Help prepare documentation and training materials related to policy updates.
    • Training and Development
      • Develop and distribute training materials and support performance management programs.
      • Schedule and organize training sessions, seminars, and HR meetings
      • Use Paychex and help create a journey for each employee.
    • Employee Relations:
      • Address common employee questions, grievances, or demands
        at an initial level (with escalation for sensitive/confidential issues)
    • Reporting and Analysis:
      • Metric Reporting: Prepare regular reports on HR-related metrics (e.g., turnover, new hire statistics). Produce routine reports including headcounts, hires, and terminations.
      • Presentation Development: Create presentations for HR meetings and management review.
    • Performance Management:
      • Support managers in implementing the performance review process, including goal setting, check-ins, and evaluations.
      • Provide guidance on addressing performance issues and assist with

    • Payroll Audits & Reporting
      • Support bi-weekly payroll processing and reconciliation.

    • Other Key Responsibilities:

        • Ad-hoc Support: Assist with special projects as they arise, offering support where needed.
